Technical Services Clerk
Summary of Position: The Technical Services Clerk catalogs, processes, prepares, and
maintains books and other library materials and metadata for use by library patrons and
staff. Assists with circulation desk responsibilities, as scheduled.
Reports to: Acquisitions Librarian
FLSA Status: Full-time; Salaried; Non-Exempt.
Minimum Qualifications:
- At least 2 years working in a library setting.
- High School Diploma or equivalent.
- Strong computer skills, including proficiency with the use of email
and general office software such as Microsoft Office, experience with
Library Management Software such as Polaris ILS, and the ability to
adapt to and learn to use unfamiliar processes, procedures, and/or
computer software as needed.
- Excellent time management and organizational skills, including an
ability to effectively prioritize competing tasks in a busy
work setting.

Ability to work efficiently, while maintaining a high rate of accuracy
and high quality of work output.

Strong customer service skills, with the ability to effectively and
respectfully interact with patrons and staff.

Ability to communicate clearly, and to follow oral and written
instructions.
Preference may be given for:
- Bachelor’s degree or higher in Library Science or a related field.
- Prior experience with copy cataloging and MARC record editing.
Essential Duties:
- Working with Item Records.

Creating, updating, and maintaining item records in the library’s
computer system (ILS), according to library system guidelines, and
with a high level of accuracy. This involves data entry and
verification for each item added to the collection, including call
numbers, prices, shelf locations, statistical codes, and similar
information.

Correctly identifying problems, errors, and omissions in item records,
and acting to correct them.
- Copy Cataloging

Determining whether an acceptable MARC bibliographic record already exists in the
regional shared catalog, for newly added items, based on Shore Library Consortium
guidelines.

Searching for and importing the best available OCLC bibliographic record, as
needed to replace inadequate records, or in cases where there is no previous record
in the catalog.
- Merging duplicate records according to consortium guidelines.

Communicating with supervisor and/or regional Catalog Maintenance Specialist
when uncertainty arises, or if original cataloging is needed.
- Physical Processing.

Selecting and/or printing the correct spine labels, ownership labels, barcodes,
genre labels, label covers, etc. for an item, and placing them according to library
guidelines.

Adding and/or replacing mylar covers on hardbacks and laminate covers
on paperbacks, carefully for a neat and tidy result.

Creating and applying book plates as requested, to recognize donations and
memorials.

Identifying and fixing incorrect labels and replacing missing labels as needed.

Creating a record set in the ILS of items identified for withdrawal, and marking those
items as withdrawn.

Monitoring and communicating supply levels relevant to book
processing, to facilitate restocking supplies in a timely manner. This
may include labels, label protectors, book covering materials, and
similar supplies.
- Public Service.
- Assists in providing a professional and friendly environment to patrons and staff.

Duties will include working on the Circulation Desk, assisting patrons in signing up
for library cards, checking out materials, and similar day-to-day library tasks.
- Miscellaneous.

Participating in relevant training, continuing education, and/or professional
development.

Making suggestions regarding department workflows and processes as they relate
to effectiveness and efficiency.

Assisting in training and directing other staff in cataloging and/or processing, as
needed.
- Other duties as assigned.
Physical Requirements:

Work requires routine physical effort in the handling of moderately
heavy materials. This may include transporting up to 35 pounds and
pushing and/or pulling up to 75 pounds.

Some duties may require remaining in a stationary position for
extended periods of time, while maintaining focus on projects such as
computer screens or detailed paperwork.

The person in this position needs to occasionally move about inside the library.

Stooping, bending, reaching, handling, and fine manipulation skills
may also be needed.
